Key Responsibilities
We are seeking a proactive and meticulous Facilities Manager to join our team at Au Vodka HQ. This role will be responsible for the overall maintenance, safety, and functionality of our headquarters, ensuring that the space reflects the quality and standards of our brand. You will be an integral part of our operations team, ensuring that our offices, production areas, and common spaces are maintained to the highest standards, and supporting a positive, well-functioning environment for all employees.
Key Responsibilities
Facility Operations & Maintenance:
- Oversee day-to-day facilities operations to ensure a smooth and effective working environment.
- Maintain, repair, and service all areas of the HQ, including office spaces, meeting rooms, production areas, and social spaces.
- Monitor and coordinate all building services, including HVAC, lighting, plumbing, and electrical systems, ensuring they are always functioning optimally.
- Working knowledge of relevant legislation surrounding building compliance and the ability to create and maintain a robust Planned Preventative Maintenance (PPM) schedule to ensure compliance and minimize downtime.
Health & Safety Compliance
- Ensure all safety protocols are followed, including fire safety, first aid, and emergency procedures, maintaining a safe environment for all staff.
- Conduct regular risk assessments and health and safety audits, reporting and addressing any areas of concern.
- Act as the primary point of contact for any safety or compliance issues.
Vendor & Contractor Management
- Oversee the selection, contracting, and performance of external service providers, including cleaning, maintenance, and security teams.
- Build and maintain strong relationships with key suppliers to ensure high standards of service.
- Negotiate contracts and monitor vendor performance for value and quality.
Space Management & Optimization
- Coordinate the layout, configuration, and design of office spaces to support an efficient, productive, and inspiring work environment.
- Assist in planning and managing office moves, renovations, and reconfigurations in alignment with business needs and branding.
- Manage office supplies and equipment to ensure smooth operations and reflect the brand’s luxurious image.
Sustainability & Environmental Management
- Lead initiatives to improve energy efficiency and reduce waste in the building operations.
- Support sustainability goals by implementing eco-friendly practices and overseeing waste management, recycling programs, and energy-saving solutions.
Budget Management
- Develop and manage the facilities budget, ensuring that spending is controlled and efficient.
- Provide regular reports on expenditures and implement cost-saving strategies without compromising quality or efficiency.
Employee Experience
- Ensure that the facilities contribute to an exceptional employee experience, ensuring comfort, cleanliness, and a positive atmosphere.
- Collaborate with HR and other departments to enhance employee well-being through amenities, comfort features, and workplace improvements.
Event & Meeting Room Management
- Coordinate the booking and preparation of meeting rooms, ensuring all events and meetings are supported seamlessly.
- Ensure high-end, professional standards are upheld for client and internal events hosted at the HQ.
Skills, Knowledge & Expertise
- Proven experience in facilities management or a similar operational role, ideally in a fast-paced or luxury brand environment.
- Strong knowledge of building systems, including HVAC, plumbing, electrical, and security systems.
- Excellent problem-solving skills and the ability to manage multiple tasks and projects simultaneously.
- Ability to work with a diverse team and collaborate across various departments to meet business needs.
- High attention to detail with a commitment to maintaining standards of excellence.
- Strong communication skills and the ability to liaise effectively with external contractors, vendors, and internal teams.
- Experience managing budgets and financial oversight.
- Proficiency in MS Office and facilities management software.
