Key Accountabilities & Activities
Activities:
- Work as part of the Compliance and Monitoring team.
- Provide administrative support for compliance support and project management duties.
- Maintain data quality and facilitate IMS system updates.
- Coordinate project activities and ensure accuracy of project documentation.
- Handle communications, scheduling, reporting, and other compliance-related tasks.
Parameters:
- Autonomous role across projects under the job holder’s control.
- Visibility with internal and external stakeholders and shared service functions.
- Full compliance responsibility for all projects under control (Safety, Health, Environmental, Regulatory, Project Management).
- Collate and manage data sources related to compliance and IMS within the RWM Team.
- Adhere to Health and Safety responsibilities and ensure correct PPE is worn.
- Follow all NEOM Policies & Procedures, including Employment Handbook, HSE Policy, Incident Reporting Procedures, and financial/accounting systems.
- Additional reasonable duties may be included as part of this role.
Key Accountabilities:
- Assist in managing the Integrated Management System (IMS).
- Establish, implement, and maintain the IMS in line with business requirements and relevant standards.
- Identify and develop improvements to the business through the IMS.
- Support the Monitoring and Compliance team in achieving excellent SHEQ standards.
- Prepare risk-based assessments and management plans.
- Respond to orders issued by regulatory departments and manage external audits.
- Arrange monitoring, testing, and evaluations by external agencies/consultants.
- Schedule regular meetings and record decisions (e.g., assigned tasks and next steps).
- Maintain project documentation, including plans, status reports, risk logs, and issue logs.
- Represent the business core values and process Compliance audits.
- Communicate and liaise with stakeholders, clients, supply chain contacts, and operational team members.
- Assist in implementing IMS standards internally and on RWM projects.
- Support document control and improvement requests within the IMS.
- Identify project risks and issues; maintain and track a risk and issue log.
- Provide administrative support for risk and issue management activities.
- Create and issue reports to operational teams and support Compliance & Risk Communications and training content development.
- Complete internal quality audits for ISO 9001, ISO 14001 & OHSAS 18001 compliance.
- Ensure ongoing compliance with the Quality Management System ISO 9001.
- Attend various meetings and action/communicate instructions.
Background, Skills & Qualifications
Knowledge:
Essential:
- Good knowledge of Integrated Management Systems and Standards.
- Good knowledge of QHSE Procedures for Operational Environments.
- Good knowledge of IMS System Auditing.
- Good knowledge of HSE legislation and requirements.
- Good knowledge of Waste Management processes.

Experience:
Essential:
- Minimum of 7 to 10 years’ experience in a business/project/HSE administration role within an organization with certified QMS/IMS systems.
- Track record of IMS system document and record management.
- Experience dealing with internal and external stakeholders, including clients, contractors, department heads, and regulatory bodies.
- Experience with technical documentation, flowcharts, and schedules.
- Prior experience as a Project Coordinator, Project Administrator, or a similar role.
Desirable:
- Previous experience in a Safety, Health, and Environmental capacity within the Construction Industry.
